Development and recruiting relevant project administrators, project manager, teachers, head teachers, support stuff, and volunteers to administer the project. The project shall employ the services of a highly motivated project administrator, head teacher and teachers. The voluntary spirit and love for the children, minimum supervision and task accomplishment shall be the bed marks of recruitment.
Project Monitoring and Reporting Roles
Integrated education development program, district education teams on education provision, INEDEP partners will work closely in the monitoring the project. The project shall be committed to the monitoring and evaluation approach “M & E” including capacity development of the local stuff, volunteers partners including the project beneficiaries in the participatory evaluation process. INEDEP will appoint project manager to manage every program of the project, whose role is to facilitate project M & E. Other field stuff working under unity project manager will undertake the actual implementation of the projects activities and will collect information on key aspects of the project together with the target community, submit monthly reports to the respective departments, as well as stakeholders.
For effective project management, organization shall form relevant committees to be involved in all aspects of the project planning, monitoring and evaluation.
There shall be a mid-term review of implementation and, the subsequent impact both intended and unintended. This will give stakeholders the opportunity to discuss the lessons learnt in the first half of the project and to incorporate the findings in the second half of the project. These evaluations shall require participatory approach involving all stakeholders.
The stakeholders here include committee member’s co-opted local leaders, health/hospital staff, leaders co-opted on the link partners in management councils and others .the methodology and approach used in the exercise will be participatory including interviews, questionnaires, suggestion boxes, focus group, districts education teams, groups of meetings and surveys. The project teams including committee members will undertake monthly reviews to gauge the project progress against objectives set and verify the financial expenditure. These reviews shall include other stakeholders; the district health teams focus resource persons. Indeed will be a signed with other stakeholders to mitigate their vested interests, in the project and involve in the participation implementation of the project.
The project managers of the unit partners and the treasurer and book-keepers will prepare routine reports in the monthly financial reports, reports on monthly equipment, machinery condition, and drug distribution. The coordinator will use all the managers’ reports to make overall project monthly, quarterly and annual reports to the stakeholders, donors and the board of directors. Monitoring reports will describe the achievement of the year as judged against agreed project objectives and budget; financial monitoring of actual expenditure against budget and explanations of variations, problems encountered and the action taken or proposed to solve them and plans for the forthcoming year.
The reports could be based on oral community, telephone calls or written correspondences by field personnel responsible for project implementation. We strongly propose the donors, stakeholder’s representatives to visit the project annually to assess the progress, meet with the community members, beneficiaries, implementing staff stakeholders meetings and participate in the annual key stakeholders planning process. The project will be audited according to INEDEP development requirement.
